Show Production Terms and Conditions

Dance Gallery in Association with Werkkit Productions

Show fee payment:

To confirm show participation, show fee must be paid by the final week of DG dance autumn term (12th December 2025)

-Refunds will not be given for students who do not attend rehearsals/performances.

-Payment can be made online: www.dancegallery.co.uk/show26/

If students wish to withdraw from the production, they must give adequate notice. If costumes have already been purchased and are unable to be returned, then a partial refund will be granted minus the costume and admin fees. Any costumes bought will be given to student.

Data Protection – GDPR: 

Dance Gallery complies with all current GDPR rules. Customer information obtained allows Dance Gallery to carry out our business as a dance training establishment. Dance Gallery will not disclose your information to third parties, except where the law allows or requires, or where you have given your permission to do so.

Force Majeure:

Dance Gallery are unable to provide refunds for any cancelled or missed rehearsals due to a Force Majeure Event. A Force Majeure refers to any event beyond our reasonable control including and without limitation, acts of God, interruption of power or other utility, acts of civil or military authority, national emergencies, explosion, flood, accident, earthquake or other catastrophe, fire, notifiable disease, war or riot.

Dance Gallery shall not be liable to customers should they fail to perform their obligations of this contract as a result of a Force Majeure Event.

Liability Form: 

Dance is a physical activity and contains a certain amount of risk. Neither the Dance Gallery or any employed teacher can be held responsible for any accident or injury due to heath conditions, which may occur to anyone while taking part in any rehearsals or performances. All girls and boys must take part at their own risk

Safeguarding & Child Protection:

Dance Gallery are committed to ensuring the highest standard of child safeguarding and protection for all of its students. We ensure that the staff have enhanced DBS checks, are first aid trained and have completed a minimum of Level 1 safeguarding training. Staff will report any concerns to Maddy Gerosa – Principal of Dance Gallery or Kath Hunt (Head of Safeguarding) who will report information directly to the relevant authorities council and Safeguarding team *Copies of our Code of Conduct, Safeguarding & Child Protection Policies and Risk Assessments are all available upon request from the principal.

Our Mission Statement: Dance Gallery actively encourages the safety and well-being of children and young people, by creating a culture and environment that supports this. We aim to create a safe environment where children can enjoy rewarding and fulfilling experiences. We believe the welfare of children is paramount and aim to ensure all areas of the show rehearsals and theatre show week are risk assessed to make sure all are safe and hazard free. We believe all children, regardless of age, gender, ethnicity, disability, sexual orientation and religion should be:

  • Listened to and heard
  • Valued and respected as individuals
  • Respected for their identity and uniqueness
  • Encouraged and praised
  • Involved in decisions as appropriate

Our Aims

  • To create a safe environment for the children in our care
  • To be committed to safe recruitment, supervision and training of all staff who are in contact with children
  • To ensure all staff and members in this organisation accept and recognise their responsibilities to develop awareness of the issues which cause children harm
  • To keep up to date with Health and Safety legislation and to keep informed of any changes in new laws and policies for the protection of children
  • To be particularly aware of what is inappropriate behaviour, since this could lead to disciplinary proceedings

Code of Conduct:

We must all agree on acceptable behaviour in order to work together and create a safe, happy and productive environment. By taking part in our 2025 Show the students agree to:

  • Be on time.
  • Join in with all activities.
  • Be enthusiastic and try your best.
  • Be kind to yourself and others.
  • Listen to the teachers and chaperones and follow instructions.
  • Turn off your phone before the rehearsals starts.
  • Do not use your phone or camera under any circumstances during the rehearsals and performances.
  • Do not post any rehearsal, backstage or performance footage to any social media site
  • Do not eat food or chew gum during performances.
  • Do not leave your rehearsals without asking your chaperone.
  • Behave respectfully towards all DG staff, show chaperones and peers.
  • Adhere to all Show Health and Safety measures.

Consequences of breaking the rules: If any rules are broken, we will give 2 verbal warnings and after that we will contact the parent/carer and the student may be excluded from remaining rehearsals and performances.

Non-attendance: If a student is unable to attend rehearsals or performances please notify your lead chaperone.

Medical Requirements: please inform us of any medical conditions we need to be aware of. If the students uses an inhaler or carry and EpiPen, please ensure they have this with them and that the chaperones are informed.

Mobile Devices: We advise students switch off smartphones and mobile devices during rehearsals and show performances. All devices brought on site are done so at the students own risk and we do not take any responsibility for any personal belongings.

The Use of Photographs and Recorded Images:

Dance Gallery & Werkkit recognise the need to ensure the safety of all young people involved in its activities. We will not permit photos or videos of young people to be taken or used for print or social media without the consent or the parents/carers. Photographs of young people must only be taken by a designated DG dance Photographer. Full details on how to purchase show photos will be given during show week. Dance Gallery will take steps to ensure all images are used solely for the for which they are intended which is the promotion and celebration of Dance Gallery and our annual Show. If you become aware of these images being used inappropriately, please inform Dance Gallery immediately.

If at any time either the parent/carer or the young person wishes data to be removed from the website or social media, seven days’ notice must be given in writing to maddy@dancegallery.co.uk after which the data will be removed.
